Guest management for wedding planners and venues
For wedding planners and venues, the hardest part of the night is rarely the stage or the buffet. It is the guest list: who received the invitation, who confirmed, and who is about to walk through the door. Dawati gives you and your clients one clear way to send invitations over WhatsApp, follow replies live, and run the entrance from any phone, with no special devices and no scattered spreadsheets.
Why wedding planners need an invitation tool
In the final week before a wedding, the same questions come from the family, the venue and the caterer: what is the final number? Has the bride's aunt confirmed? How many companions can each guest bring? The answers are usually split between WhatsApp chats, printed lists and several people's memories.
Dawati puts all of it in one place. Each guest gets the invitation on WhatsApp and replies with an Accept or Decline button, with no app and no sign-up, and the reply appears instantly in the guest list for you and the host. Guests who do not use WhatsApp can be sent their personal invitation link directly.
A co-host who manages the guest list with the family
The guest list belongs to the host, who can add you as a co-host to help manage it: adding names, organizing them, and following who has replied and who has not. You work on the same list instead of passing files and spreadsheets back and forth.
Privacy stays intact too. Only the numbers the host chooses are uploaded, guests cannot see each other, and the list remains the host's. You help run things, and the family stays confident about their data.
Your door team: a link and a PIN on any phone
On the Pro and Max packages, every guest who accepts gets a personal QR entry pass. Your door team needs no special device and no app: they open the gate link on their phone, enter the PIN, and start scanning.
- Scanning keeps working on weak venue Wi-Fi: check-ins are queued and sent when the connection returns.
- Double check-in is blocked, so the same pass cannot be used twice.
- Every accepted guest has their own pass, so there's no paper list to check at the door.
- All the team needs before doors open is a message with the link and the PIN.
Live attendance on the night
Each scan at the door marks the guest as arrived in the guest list, so you can see who is in and who is still on the way without standing at the entrance all evening. Days earlier you can already see every invitation's status, delivered, read, accepted or declined, and give the venue and caterer numbers based on real replies.
For weddings held in two halls, the host picks the “wedding with separate halls” event type, so the invitation wording states that seating is separate, and names each hall or entrance in the venue details. Guest replies arrive in the inbox inside the app, so no apology or question about the location gets lost.
Several events in one account
Wedding season is busy, and you may be running more than one event in the same week. On Dawati each event stays separate, with its own list, design and replies, and all of them sit in one account you can switch between easily.
You pay per event when you send, with no monthly subscription, and you get a full refund any time before the first invitation goes out. Packages depend on guest count (50 to 500 guests):
In-app purchases on iPhone cost about 15% more because payment goes through Apple.
- Standard, 69 to 299 SAR: WhatsApp invitations and live RSVP tracking.
- Pro, 149 to 699 SAR: adds QR entry passes, door check-in and a custom message.
- Max, 229 to 849 SAR: adds the guest photo album.
Guest photo album: the night's photos in one place
Guests upload their photos through a simple link into one 1 GB album, so the night's shots from everyone's phones end up together instead of scattered across group chats. The album is kept for 14 days and then permanently deleted, so remind the family to save their favorites in time. It is included in Max, or available as a flat 150 SAR add-on.
Ready templates and a custom-design service
Choose from 50 editable designs, mostly for weddings, in Arabic, English or both, with the Hijri (Umm al-Qura) date shown next to the Gregorian one if you like. If the family wants a design made for their celebration, the custom-design service delivers two designs within three business days with two revision rounds, and the approved design is sent to guests from the same platform.

Frequently asked questions
Does the door team need special equipment?
No. Any phone works: the team opens the gate link, enters the PIN and starts scanning QR passes. This is part of the Pro and Max packages.
Who owns the guest list, the planner or the family?
The list belongs to the host. They can add you as a co-host to help manage it, and guests never see each other's numbers.
Can I manage more than one event from my account?
Yes. All your events appear in one account, each with its own list, design and package.
What if the internet is weak at the venue entrance?
Scanning carries on as normal. Check-ins are saved and sent once the connection is back, so the entrance never stalls.
Do guests need to download an app?
No. The invitation arrives on WhatsApp and guests reply with the buttons. Anyone without WhatsApp can be sent their personal invitation link.
What if the wedding is postponed after paying?
The host gets a full refund any time before the first invitation is sent, so a change of plans costs nothing.
